Acceptable Use & Abuse Policy

1. Purpose
VowTerra provides an affordable, values-driven electronic document signing platform operated by VowTerra Ltd. This policy sets out the rules for acceptable use of the Service, describes prohibited activities, and explains how to report abuse.
This policy supplements our Terms of Service and applies to all users of the platform, including operators (those who create and send signing requests) and signers (those who receive and sign documents).
2. Acceptable use
The Service is intended for the lawful creation, distribution, and signing of electronic documents. You may use VowTerra to:
- Send contracts, agreements, and forms for electronic signature
- Collect legally binding signatures from willing, informed parties
- Store and retrieve signed documents within the platform's retention period
- Manage signing workflows and track document status
3. Prohibited activities
You must not use the Service to:
- Fraud or forgery — send documents that misrepresent their origin, content, or purpose; forge or falsify signatures; or impersonate another person or organisation
- Illegal content — upload, distribute, or facilitate documents that contain or promote illegal activity under the laws of England and Wales or the laws of the recipient's jurisdiction
- Harassment or coercion — use signing requests to harass, threaten, intimidate, or coerce recipients into signing documents against their will
- Unsolicited communications — use the signing workflow to send bulk unsolicited messages, spam, or marketing material disguised as signing requests
- Security interference — attempt to circumvent, disable, or interfere with the platform's security features, access controls, or audit mechanisms
- Unauthorised access — access or attempt to access accounts, documents, or data belonging to other users without authorisation
- System abuse — use automated tools, bots, or scripts to interact with the Service in a way that degrades performance or availability for other users
- Data harvesting — scrape, collect, or extract personal data of signers or other users for purposes unrelated to legitimate signing workflows
4. How to report abuse
If you believe the platform is being used in a way that violates this policy, or if you have received a signing request that you believe is fraudulent, misleading, or otherwise abusive, please contact us:

To help us investigate promptly, please include:
- A description of the abuse or concern
- Any document IDs, signing links, or email addresses involved (if known)
- Screenshots or copies of communications, where available
- Your contact details so we can follow up if needed
You may report abuse anonymously, but this may limit our ability to follow up or provide updates on the outcome.
5. What to expect from an investigation
When we receive an abuse report, we follow a consistent process:
- Acknowledgement — we will acknowledge your report within 2 business days
- Assessment — we review the report, gather relevant evidence (including audit logs, document metadata, and account activity), and assess whether a policy violation has occurred
- Action — if a violation is confirmed, we take proportionate action (see "Enforcement" below)
- Outcome — where possible and appropriate, we will inform the reporter of the outcome. We may be unable to share specific details about actions taken against another user's account for privacy reasons
Investigation timelines depend on the complexity of the case. Most reports are resolved within 10 business days. For urgent matters — such as suspected fraud in progress or immediate safety concerns — we prioritise accordingly.
6. Enforcement
Where a violation is confirmed, we may take one or more of the following actions, proportionate to the severity and nature of the violation:
- Warning — a written notice requiring the user to cease the prohibited activity
- Content removal — removal or quarantine of documents or signing requests that violate this policy
- Account suspension — temporary suspension of the user's ability to create campaigns or send signing requests
- Account termination — permanent closure of the user's account and deletion of associated data (subject to legal retention requirements)
- Referral to authorities — where we reasonably believe criminal activity has occurred, we may refer the matter to law enforcement or regulatory authorities, and will cooperate with lawful requests for information
In cases involving serious or ongoing harm — including suspected fraud, forgery, or threats to safety — we reserve the right to take immediate action (including suspension) without prior notice.
7. Appeals
If your account has been suspended or terminated and you believe this was in error, you may appeal by writing to abuse@vowterra.com with the subject line "Appeal". Please include:
- Your account email address
- The action you are appealing
- Why you believe the decision was incorrect, with any supporting information
Appeals are reviewed by a member of staff who was not involved in the original decision. We aim to respond to appeals within 5 business days.
8. Confidentiality
We treat all abuse reports in confidence. The identity of the reporter will not be disclosed to the reported party unless required by law or with the reporter's explicit consent.
9. Changes to this policy
We may update this policy from time to time. Material changes will be communicated via the Service or by email. Continued use of the Service after changes constitutes acceptance.
